Adams & Martin Group is seeking a dedicated and professional Entry-Level Legal Assistant to support our business development department. This Legal Assistant position plays a critical role in delivering exceptional client service and administrative support by managing all aspects of conference room operations and visitor services in a fast-paced law firm environment.
Legal Assistant Key Responsibilities:
- Serve as the first point of contact for all conference center needs with a hospitality-driven, concierge-style approach.
- Schedule and coordinate conference rooms using EMS (Event Management Software), including confirming reservations, catering, A/V needs, and setup logistics.
- Maintain full knowledge of conference room capacities, equipment, and layout to ensure appropriate space allocation.
- Welcome and direct lawyers, clients, visitors, and staff, handling phone calls and inquiries with professionalism and discretion.
- Coordinate visitor office scheduling and ensure timely setup and readiness.
- Manage catering orders, set-up, breakdown, and inventory replenishment.
- Assist with special service requests (e.g., travel, lodging, transportation, dining).
- Operate and support basic A/V equipment, coffee and espresso machines, and office equipment.
- Maintain cleanliness and organization of the conference center, pantry, and visitor areas in collaboration with Office Services.
- Issue and track visitor badges, ensuring all guests are registered in compliance with firm security protocols.
- Process invoices, time entry, expense reimbursements, and perform general administrative duties.
- Provide regular feedback and report service issues to management promptly.
Legal Assistant Qualifications:
- Minimum of 6 months of office experience or client services experience in a professional environment; legal or law firm experience strongly preferred.
- Strong organizational skills with a proven ability to multi-task and prioritize in a high-volume setting.
- Excellent interpersonal, verbal, and written communication skills.
- Experience with EMS or similar scheduling systems preferred; must be eager to learn and utilize new technologies.
- Working knowledge of Microsoft Word, Excel, PowerPoint, and basic A/V systems.
- Capable of performing light document management and troubleshooting office equipment.
- High level of discretion and professionalism, with a commitment to maintaining confidentiality.
- Willingness to work flexible shifts, including occasional weekends, holidays, and firm events.
- Collaborative team player with a proactive, can-do attitude.
