Job Summary & Objectives
The Legal Recruiting & Associate Life Assistant is responsible for assisting with all aspects of on-campus and in-office interviewing; coordination of and attorney involvement in, candidate interviews for both law student and lateral positions; and the successful planning and execution of summer associate events and programs. This role also contributes to the overall function of the Legal Talent department by providing general administrative support with regards to all associate life initiatives, planning and coordination of events, and serving as a point of contact and resource to all LA Associates.
Essential Job Duties & Responsibilities
- Assist Legal Recruiting Manager, Hiring Partners, Staffing Partners, Recruiting Committee members and other attorneys in the preparation, coordination and scheduling of on-campus and in-office interviews for lateral, law clerk, LLM, 3L and summer associate candidates
- Assist with school-specific campus outreach, including planning and attending 1L events, tracking of sponsorships and student group activities
- Prepare interview materials for attorneys participating in OCI, schools’ background informational packets and other materials, as required
- Attend and assist with planning of recruiting receptions, Partner events, offer dinners and other recruitment-related activities
- Liaise with Partners, manage vendor relationships, greet visitors and candidates in support of all recruiting-related activities
- Prepare and maintain accurate and updated information and lists for attorneys, School teams and Legal Recruiting team
- Assist with summer program planning and execution, including researching ideas for summer events, activities and restaurant venues
- Plan summer activities, create invitations, coordinate logistics and work with vendors, to ensure seamless execution
- Keep records and maintain accurate files related to all aspects of the summer program including but not limited to: information on summer associates’ mentors and interests; correspondence; invoices and expense receipts; RSVP lists and feedback on program
- Provide administrative support for professional development and training programs by keeping summer associates abreast of all offerings, tracking RSVPs and booking conference services
- Assist in planning internal events and receptions including law school lunches, affinity group receptions and practice group-specific events
- Track summer associate diaries and weekly assignment updates; assist in gathering feedback on summers such as attorneys’ evaluations and mid-summer and final reviews
- Update various summer associate lists and distributions including summer associate housing information and campus student group participation, as needed
- Assist with the planning and execution of fall orientation and new hire orientations
- Assist with all aspects related to lateral attorney hiring, relocation and departure, working closely with the Manager of Legal Recruiting and Associate life.
- Provide the Legal Talent Manager with general support and assistance related to staffing, mentoring, and training and development initiatives
- Support the orientation and integration process for new Associates and the coordination of formal mentoring assignments for all incoming Associates and laterals
- Assist with all aspects of the staffing process including, but not limited to hours reporting and assignment tracking
- Track upcoming associate time off to ensure appropriate staffing levels
- Keep records and maintain accurate files related to all aspects of the continuing legal education program by booking conference services, creating invites, generating QR codes, and tracking attendance
- Assist in planning internal Associate life social events
- Remain current on citywide social offerings throughout the year
- Maintain inventory of promotional items and marketing materials
- Be flexible, in adjusting hours to meet departmental needs
- Assist in various department projects as needed
- Perform other duties as assigned
Education
Required
- Bachelor’s degree or equivalent experience
Required
Skills and Experience
- 1 to 2 years of legal recruiting or equivalent related experience
- Ability to effectively present information verbally and in writing
- Proficiency in MS Word, Excel and PowerPoint
- Strong interpersonal and organizational skills required
- Ability to manage projects and work collaboratively in a team environment
- Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
- Ability to use diplomacy, confidentiality and discretion in relaying information
- Ability to adapt to diverse work styles, providing consistent and personable service
Salary Information
CA Only: The estimated base salary range for this position is $55,000 to $65,000 at the time of posting.
The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is non-exempt meaning it is overtime pay eligible.
