The HR & Legal Recruiting Assistant supports the firm’s legal and administrative talent acquisition efforts by providing administrative, scheduling, and operational support to the Human Resources and Legal Recruiting teams. This role ensures seamless coordination of attorney, summer associate, and staff hiring processes.
Key Responsibilities
· Coordinate all phases of recruiting for attorneys, summer associates, paralegals, and legal support staff.
· Schedule interviews and manage candidate communications
· Assist with law school outreach, OCI scheduling, résumé collection, and campus recruiting logistics.
· Post open positions on job boards, law school portals, legal networks, and the firm’s website.
· Maintain accurate and up-to-date records within the applicant tracking system (ATS).
· Track candidate evaluations, compile hiring committee materials, and prepare weekly status updates.
· Support conflict-check processes and pre‑hire documentation.
· Assist with planning and executing summer associate events and orientation.
· Monitor assignment distribution, evaluations, and overall program tracking.
· Prepare new-hire packets, orientation schedules, and welcome materials.
· Coordinate closely with HR, IT, and Practice Group Leaders to ensure a smooth onboarding experience.
· Manage completion of required forms, bar membership verifications, and compliance files.
· Maintain confidential personnel files and attorney records.
· Assist with annual reviews, performance management preparation, and attorney professional development logistics.
· Support firm events, HR initiatives, and employee engagement activities.
· Manage calendars, create reports, and support special projects within HR and Attorney Recruiting.
Requirements
· Bachelor’s degree in Human Resources, Business Administration, Legal Studies, or related field—or equivalent work experience.
· 1–3 years of experience as an HR assistant, recruiting coordinator, or administrative professional.
· Strong organizational, communication, and time‑management skills.
· Ability to maintain strict confidentiality and handle sensitive information with discretion.
· Proficiency in MS Office Suite (Word, Excel, Outlook) and comfort with ATS or HRIS systems.
· Professional demeanor and ability to interact with attorneys, staff, candidates, and external partners.
· Previous experience working in a law firm or professional services environment preferred.
· Familiarity with legal recruiting cycles, OCI, attorney onboarding, and law school recruitment platforms (e.g., Symplicity, 12Twenty).
· Demonstrates effective interpersonal and communication skills, both verbally and in writing
· Excellent analytical, troubleshooting, organizational and planning skills
· Ability to handle multiple projects and shifting priorities
